This Refund & Cancellation Policy explains how subscription cancellations, renewals, refunds, billing adjustments, trials, and related charges are handled for COSMIC, a product of Salt & Pixel Studio LLC (“COSMIC,” “we,” “us,” or “our”).
This policy should be read together with our Terms of Service and any plan-specific terms presented when you subscribe.
Subscription Billing
COSMIC may offer monthly, annual, promotional, trial, or other subscription plans.
Unless otherwise stated at the time of purchase, paid subscriptions renew automatically at the end of each billing period until cancelled.
You authorize COSMIC and its payment providers to charge the payment method associated with your account for applicable subscription fees, add-ons, taxes, and other authorized charges.
Cancelling Your Subscription
You may cancel your COSMIC subscription at any time through the cancellation options available for your account or by contacting COSMIC Support when account-based cancellation is not available.
Unless otherwise stated, cancellation prevents the subscription from renewing at the end of the current paid billing period.
You will generally continue to have access to the features included in your paid plan through the end of that billing period.
Cancellation Does Not Automatically Delete Your Account
Cancelling a paid subscription does not necessarily delete your COSMIC account or restaurant data.
Depending on the status of your account and the services available at the time of cancellation, your account may remain accessible with limited functionality, enter an inactive state, or become unavailable after the paid period ends.
If you want to request deletion of your account or certain personal information, please contact us separately or use any account deletion tools that may be available within COSMIC.
Refunds
Except where required by applicable law or expressly stated otherwise at the time of purchase, COSMIC subscription fees are generally non-refundable once a billing period has begun.
This includes situations where:
- You cancel after a subscription renewal has already been processed
- You do not use the platform during part or all of a paid billing period
- You choose not to use features included in your subscription
- Your restaurant closes, changes ownership, or changes technology providers during a billing period
- You disconnect a third-party integration
We may review refund requests on a case-by-case basis when unusual circumstances occur.
Duplicate or Incorrect Charges
If you believe you were charged more than once for the same subscription period, charged an incorrect amount, or billed for a subscription you previously cancelled, please contact COSMIC Support as soon as possible.
If we determine that a billing error occurred, we will take reasonable steps to correct the charge or issue an appropriate refund or account credit.
Free Trials
COSMIC may offer free trials or other temporary promotional access.
The terms of a trial, including its length, included features, and whether a payment method is required, will be disclosed when the trial is offered.
If a trial automatically converts to a paid subscription, the applicable price and renewal terms will be disclosed before you begin the trial.
You are responsible for cancelling before the trial ends if you do not want the subscription to convert to a paid plan.
Promotional and Founding Pricing
COSMIC may offer promotional, introductory, founding-member, beta, or discounted pricing.
These offers may have separate eligibility requirements, expiration dates, usage limits, renewal terms, or other conditions.
Unless expressly stated otherwise, promotional pricing does not guarantee that the same rate will remain available indefinitely.
Plan Changes
You may be able to upgrade or downgrade your COSMIC subscription as additional plans and billing controls become available.
When upgrading, additional charges may be applied immediately, prorated, or added at the next billing cycle depending on the plan and billing method.
Downgrades may take effect immediately or at the end of the current billing period, depending on the subscription configuration.
Any billing effect of a plan change will be displayed or communicated before the change is completed when reasonably possible.
Add-Ons and Additional Locations
Certain COSMIC features, modules, integrations, usage levels, or additional restaurant locations may be offered as paid add-ons.
Add-ons may renew with your primary subscription unless otherwise stated.
Cancelling an individual add-on does not necessarily cancel your main COSMIC subscription.
Annual Plans
If COSMIC offers annual subscriptions, annual fees are generally charged in advance for the applicable subscription year.
Unless otherwise required by law or stated in a specific offer, cancelling an annual subscription stops the next annual renewal but does not automatically create a refund for unused months in the current annual term.
Failed Payments
If a subscription payment fails, COSMIC or its payment provider may attempt to process the payment again.
We may notify you and request that you update your billing information.
If payment remains unsuccessful, we may restrict, suspend, or terminate access to paid COSMIC features until the outstanding amount is resolved.
Chargebacks and Payment Disputes
If you believe a COSMIC charge is incorrect, we encourage you to contact us before initiating a chargeback or payment dispute so we have an opportunity to investigate the issue.
Fraudulent or abusive payment disputes may result in suspension or termination of the associated COSMIC account.
Nothing in this section limits any rights you may have under applicable law or through your payment provider.
Service Interruptions
Temporary outages, maintenance, third-party integration failures, or other interruptions do not automatically qualify a subscription for a refund.
If COSMIC experiences a significant service issue that materially affects paid functionality for an extended period, we may determine whether an account credit, billing adjustment, or other remedy is appropriate.
Third-Party Services
Your COSMIC subscription does not include fees charged separately by third-party services unless explicitly stated.
This may include point-of-sale systems, payment processors, accounting services, website platforms, delivery providers, messaging services, or other connected technology.
COSMIC cannot issue refunds for charges made directly by third-party providers.
Closing or Changing Your Restaurant
If your restaurant closes, changes ownership, relocates, or otherwise changes operations, you remain responsible for cancelling or modifying your COSMIC subscription when appropriate.
Please contact COSMIC Support if you need help transferring, closing, or restructuring an account.
Account Termination by COSMIC
If COSMIC terminates a paid account because of a violation of our Terms of Service, misuse of the platform, fraudulent activity, unlawful conduct, or other prohibited behavior, unused subscription fees may not be refundable to the extent permitted by law.
If we discontinue a paid COSMIC service for reasons unrelated to your violation of our policies, we may provide notice, continued access through an applicable period, an account credit, or a prorated refund when appropriate.
How to Request a Billing Review
If you believe a refund, billing correction, or account adjustment should be considered, please contact COSMIC Support and include:
- Your name
- Your restaurant or organization name
- The email address associated with your COSMIC account
- The date and amount of the charge
- A brief explanation of the issue
We may request additional information needed to locate the transaction and review the request.
Changes to This Policy
We may update this Refund & Cancellation Policy as COSMIC plans, billing systems, promotional programs, or legal requirements change.
When we update this policy, we will revise the effective date shown at the top of the page.
